About
A UK booking platform for personal trainers
BookActivity connects sports trainers with the people who want to train with them. Trainers manage their calendar and accept payments. Clients find trainers and book sessions. No back-and-forth on WhatsApp, no spreadsheets, no missed bookings.
What BookActivity is
BookActivity is an online booking platform built specifically for one-on-one sports coaches in the United Kingdom. Personal trainers, tennis coaches, yoga and pilates instructors, and similar professionals use it to run the booking and payment side of their business.
A trainer signs up, sets their availability and session prices, and shares a public booking link. Clients open the link, see live availability, pick a slot, and book. Money flows through Stripe directly into the trainer's bank account. Both sides get email confirmation immediately, plus a reminder 24 hours before the session.
BookActivity is a marketplace, not the seller. When a client pays by card, the trainer is the seller of record — the trainer's business name appears on the card statement, the trainer keeps the revenue, and the trainer is responsible for their own VAT and income tax. BookActivity charges the trainer a platform fee for the use of the software.
Who BookActivity is for
On the trainer side, the platform is built for solo coaches and small studios based in the UK who sell time directly to clients. The current trainer base covers personal training, tennis, yoga, pilates, boxing, BJJ, and a long tail of other one-on-one disciplines.
On the client side, BookActivity is for anyone looking for a trainer in their area. Browse the discovery page, view trainer profiles with verified reviews, and book. Card payment is the default; some trainers also accept cash.
How it works
- Trainer signup and onboarding. A trainer creates a profile with their photo, headline, disciplines, hourly rate, and bio. They set their weekly availability and create session types (e.g. 45-minute intro session at £40, 60-minute standard at £55).
- Stripe Connect setup. Trainers connect a Stripe Express account so card payments land in their bank account automatically. Onboarding takes about 5 minutes.
- Client booking. The trainer shares their booking link (for example, bookactivity.io/booking/firstname-lastname). A client opens it, picks a session type and time, enters their details, and pays.
- Confirmation and reminders. Both sides receive an email confirmation immediately and a reminder 24 hours before the session. The trainer's “where to meet” note ships with both emails.
- After the session. The trainer marks the session complete from their dashboard. Earnings count toward the next Stripe payout. The client can leave a review.
Pricing
Listing a profile is free. No monthly subscription, no setup fee.
- Card payments: 3% + £0.40 per booking. Covers both BookActivity's platform fee and Stripe's card processing.
- Direct cash payments: £1.50 flat platform fee per session. The trainer collects the rest in person.
- Refunds: The platform fee and Stripe's card processing fee (together up to 3% + £0.40) are non-refundable and come out of any refund. This is because Stripe doesn't return its processing fee when we refund a payment. Applies whether the client or the trainer cancels. See Terms §9.5.
Currency support is currently GBP, with multi-currency planned. Trainers see their net payout amount on every booking before they confirm.

Frequently asked questions
How long does it take a trainer to set up?
About 10 minutes for the profile, availability, and session types. Add another 5 minutes if you also connect Stripe at the same time (recommended).
Can a trainer block specific dates?
Yes. From the availability page, a trainer can mark whole days as blocked (holidays, sickness) or block specific time ranges within a day. Blocked slots disappear from the public booking calendar instantly.
What if a session is missed (no-show)?
The trainer marks it as No-show in their dashboard. No refund is issued. The session counts toward the trainer's payout the same as a completed session.
Are reviews verified?
Yes. A client can only leave a review on a session they actually booked and the trainer marked as completed. No anonymous reviews, no review-bombing.
Can I export my client list or earnings?
The trainer's analytics page has CSV export for completed bookings. Earnings show per session, with the platform fee, Stripe fee, and net payout broken out.
Is there a mobile app?
Not yet. The web version works well on mobile browsers, including the booking flow, trainer dashboard, and client dashboard.
